MacBook Deployment Guide
Unboxing Your new GCTS Mac will come in the original box from Apple. You will be given a grey/blue asset tag sticker and notified by IT of the name of your new computer. Please have this information handy. Please remove your new Mac from the box and remove the packaging. At this point, please take your Asset Tag sticker and place it on the top of the laptop, in the upper left corner if you are looking at the Apple logo. Inside the box, you will also find your power cord and power brick. Please remove these from the box. It is safest at this point to plug your machine into power, just to be certain it has enough power to continue with the next sections. Setup Assistant - Part 1 Open your new Mac. You will be greeted by Setup Assistant, which will help you get your Mac ready to use. This section will explain each screen you will see and need to progress through. Language: Please choose English (or your native language if you are more comfortable, though this may mean that GCTS IT will need your help navigating the computer in order to fix anything that may go wrong). Country/Region: Please choose United States. If you wait for a few seconds, it should refresh and United States will be at the top. Accessibility: These settings are only for the GCTS IT Services local administrator account, so please hit Not Now. You will have another option to setup Accessibility for your account in a few minutes. Wi-Fi/Internet: This step is critical for setting up your Mac; please do not skip. If not connected to Ethernet (wired internet), please select your Wi-Fi and input the password. If on a GCTS campus, please select GC-Staff and input the staff password: thinkengagelive Remote Management: This will allow GCTS IT to remotely setup and update your Mac, along with other critical things which help make your use of the Mac simpler. Please click Continue. Your Mac will then begin to enroll itself in our Mac solution, and install some required tools. If your Macbook is not on the latest version of the OS, you will be prompted to update to the latest OS. This step may take some time (potentially 30 minutes or more depending on the size of the update), please be patient. Your computer will then restart and update itself. Once updated it will return you to step 3 above. End User Agreement: Please read the short note which is displayed and select Next SSO Login: Please login with your GCTS email address, password, and MFA information. This will associate the Mac to you in our systems. Location Services: Please enable Location Services by clicking the checkbox on this page. This allows your clock to be automatically set and also allows GCTS IT to help find your Mac if it is lost or stolen. Login Screen You will now be brought to a login screen. Please input your GCTS email address where requested. The screen will then change to ask for your password, and then finally your MFA app notification or MFA code. If you have not yet setup MFA, please follow these instructions to set it up. If the login window does not load and you see a message at the bottom of the screen saying, “An error occurred. Contact your IT administrator.”, click the “Refresh” button and the login window should load. Once logged in, the Mac will create your account. You will only see this login screen when you restart your Mac or when you log out. When it is simply locked you will see the familiar Mac login screen, which you can login to with either your username and password or your Touch ID (if setup in the next section). Setup Assistant - Part 2 Accessibility: These settings are now for your account, so if Accessibility is needed or you are not sure, please take a look at the available options. If not, please click Skip. Sign in with Apple ID: Please sign in with your personal Apple ID. If you do not have one, please follow the instructions under Create an Apple ID on screen. We highly suggest that you use a personal email address for this account. Please accept the license terms of Apple ID/iCloud. iCloud: GCTS IT does not recommend using iCloud on a GCTS device as the institution utilizes OneDrive for institutional storage. iCloud keychain: GCTS IT does not recommend the use of iCloud keychain for GCTS usernames and password, as we utilize LastPass as an institution. Screentime: Please click continue. Siri: If you would like Siri to be setup, please follow the prompts in this section. Otherwise click skip. Improve Siri & Dictation: Please select Not Now. iCloud Drive: Select Not Now and Set up Later. Touch ID: This will allow you to login to your Mac when locked with just your fingerprint. This information is stored locally on your machine and is never shared with GCTS IT or any other group or individuals. The fingerprint reader on your Mac is in the upper right of the keyboard, it also doubles as the power/lock button if held down or clicked respectively. Please follow the setup instructions to add a fingerprint, or click skip. Apple Pay: Set up Later. Choose Look: This will allow you to choose the general look of your Mac. Please note that Auto means that the display will switch from Light to Dark mode along with the time of day. Desktop Login and Set Up Your Mac You will now be logged into your desktop. Please open Self Service. It looks like the GCTS shield logo. This software functions as a one stop shop for software and other settings that GCTS users have found useful in the past, but may not be required for the device to be in compliance. Software installed from here can be installed without admin credentials. Click “setup” under “Setup Your Mac.” This will give you more information on what is about to be done to your Mac, please take a minute to read this and when ready click “Setup.” Setup Your Mac will now begin to install and once installed will open automatically. Please input the computer name given to you by IT in the “Computer Name” box. Please input the asset tag which was attached to your Mac in the “Asset Tag” box. Please choose the correct configuration for your Mac setup, using the information below. The vast majority of setups should choose Complete. An estimate of the time which the setup process will take can be found under the Estimates section on the left hand side, though generally the setup is faster than the estimate. Zoom Room: Used only for Zoom Room deployments. Unless you know you are setting up for this, do not choose. Recommended: GCTS required software, Microsoft Office, Google Chrome, and Zoom. Complete: GCTS required software, Microsoft Office, Google Chrome, Mozilla Firefox, Adobe Acrobat Reader, and Zoom. Click Continue when ready. Your Mac will now begin to install the requested software and configurations. This process may take some time, but you can follow the process via the information displayed on screen. Once the process is finished, please click the “Restart” button. Your Mac will now restart. Once restarted, please log in and continue with the following sections to finish the setup of your new Mac. Desktop and Final Setup Screen Recording Setup Some applications such as the GCTS Remote access software N-Able, require Screen Recording permissions to be granted by the user before use. Other apps include Zoom and Microsoft Teams (to share your screen) and Safari/Chrome/Firefox (to allow Panopto to record correctly). To grant these permissions, please search for Screen Recording in Spotlight. Once there, please click the toggle next to each application that you will want to use, including MSP Anywhere Agent N-Central (GCTS’ remote access solution). Please quit and reopen each piece of software via the provided prompt so that the permissions are changed correctly. Outlook/Office Setup/Login You’ll need to login to any of the Microsoft Office products in order to associate them to your account. If you would like to use Outlook, you can also log into it at this time to setup your email account, by inputting your GCTS email address and password where appropriate. If you need access to any shared mailboxes, please follow these instructions to add it to your Outlook. In the Tools menu, choose Accounts, and select the account that has access to the mailbox. Select Delegation and Sharing Choose Shared With Me tab Choose + to add a shared or delegated mailbox. Input the email address of the shared mailbox you have access to. To send from the shared mailbox, you will need to change the “From” address on your email by clicking on the arrow next to From when sending a new message. This will need to be done every time you wish to send from the Shared Mailbox, as your personal GCTS email address is your default address which Outlook will send emails from. Setup your Dock how you would like it. Once this is done, please contact GCTS IT and we will be happy to help install any additional software needed, and help transfer over data from your old Mac or Windows computer if needed. Data Transfer, Printers, and Additional Software Once you have finished the above steps, please contact GCTS IT so that we may help with the following areas. Data Transfer: This will require that you bring in your old Mac/Windows machine to a GCTS IT office so that we may transfer over your data to your new Mac. Please bring both machines, and note that this process may take a few hours depending on how much data you store on you old computer. To speed up this process, you can transfer your data to OneDrive. If you need help doing this, please contact GCTS IT. Printers: Using GCTS printers requires them to be installed, which will be done by GCTS IT when they install your VPN and transfer any data needed. If you need personal printers installed, please give GCTS IT a call when you are on your home Wi-Fi, so that we can install the printer as needed. VPN: GCTS IT will remote into your computer to install Forticlient VPN, if needed, or can install it when moving data from your old computer. Additional Software/Campus Shares: Additional software that is not standard to all GCTS Macs may be found in Self Service (search your Mac via Spotlight for “Self Service” to find it), which does not require admin credentials to use or install from. Things found here include: Campus Shares drives (choose your campus and click install, you will then see a globe that has been added to your dock, this will take you directly to your campuses shares drive), Dropbox, LastPass, Adobe Digital Editions and Citrix.

Visual Basic Applications Error in Microsoft365 Products Resolution
The following article will walk you through how to clear out the following error, and other Office 365 errors which may occur. 1. In Spotlight (cmd+space bar) search for "Self Service" 2. In the Self Service Window, find the "Reset Microsoft Office" app (pictured below) 3. Click "Reset" 4. This will return your Office 365 products to its original default state, clearing any errors. Please note, this may take some time- up to an hour or so. You can track the progress of the application resets by viewing the blue circle in the Self Service window. Once the blue circle has gone away, the application resets have completed. 5. When opening Office products, you may be met with a login request. Please log in with your GCTS credentials in order to re-license these products. If you continue to have issues with Office products after running this, please reach out to the IT Services department at tech@gordoconwell.edu.

Elevate (Gain Admin Access for 5 Minutes) Software Usage
The Elevate software allows a user to gain admin access to their Mac for five (5) minutes per day to update software that is not supported/installed by Technology Services, change sleep/power settings if needed, or install printers via Mobility Print. This software allows a user to have full administrative access to their computer, and thus should be used carefully and with caution, as improper usage of admin rights can lead to data loss of the individual or the institution, malware, ransomware, and other potential negative consequences. As such GCTS Technology Services reserves the right to restrict access to Elevate to individuals or groups of users at any time based on previous use/misuse, the current security posture of the seminary, or current standing in regards to security training. Read on for more info on how to use this software. In Spotlight (cmd+space bar) search for "Self Service" In the Self-Service window, find the "Give Admin Access for 5 Minutes" app (pictured below) Click "Run" or "Elevate" After a moment a box will pop up, requesting information on the reason for your need for admin access. This information will be sent to Tech Services for historical/monitoring purposes. Please type in the box provided the reason you are requesting access, and click "Continue" If you wish to stop the request, please click "Cancel" Please be certain that you need administrative rights before you click continue, and that what you are going to do with them is safe. If you have any questions at all, please click Cancel and contact Tech Services before continuing. Once you have clicked continue, you will be granted administrative rights and a box will pop up notifying you of this with a timer of how long the rights will remain for (see below). Once this timer expires your admin rights will be automatically removed, and you will not be able to access the policy for 24 hours without requesting Tech Services to clear your policy record.

If you do not have one, please follow the instructions under Create an Apple ID on screen. We highly suggest that you use a personal email address for this account. This also allows IT to push apps from the app store to your device if needed, and for you to install apps easily via Self Service. Please accept the license terms of Apple ID/iCloud iCloud: GCTS IT does not recommend using iCloud on a GCTS device, as the institution utilizes OneDrive for institutional storage. iCloud Keychain: GCTS IT does not recommend the use of iCloud keychain for GCTS usernames and password, as we utilize LastPass as an institution. Keychain Issues in macOS
This article shows how to solve the keychain issues stemming from old cached data. Steps Option 1 If the keychain password is outdated and is unknown by the user and the tech: In Finder select Go > Go to folder… (⇧⌘G) In the window that appears, type the following: ~/Library/Keychains/ Click OK Look for a folder with a name similar to: "A8F5E7B8-CEC1-4479-A7DF-F23CB076C8B8". Note: Each folder will have a unique number. Move this folder to the Trash. Immediately choose Apple Menu > Restart to restart the machine. Option 2 If the user has forgotten his/her keychain password, follow the steps below to reset the password: Be sure the user is logged on to his/her own account. Open the Keychain Access. At the top of the page, select Keychain Access > Settings. Select Reset my default keychain. Have the user type in his/her current password. Option 3 If the 'login' keychain is not automatically unlocking when the user logs in to the computer, try the following: Open Keychain Access Two-Finger Click or Ctrl + Click on the 'login' keychain in the left column. Click 'Change Password for Keychain "login" Enter the old GCTS password that last worked on the computer. Enter the current GCTS password twice.
